Officer Position Descriptions

President

1)      Presides over all club meetings, creating the club agenda for each monthly meeting, compiling the agendas from all officers and making copies available to every member at each meeting.

2)      Oversees the activities of all CBM VPs, supporting their efforts, calling them to action when necessary, but always ensuring the best possible membership experience for all members at all times.

3)      Establishes the overall agenda for the club, including the establishment of goals for the year.

4)      Responsible for coordinating (with the VP of Education) the CBM Club Tasting competitions. These will take place every other month (6 out of 12) and will alternate months with the education sessions.

5)      Coordinates the club calendar with the VPs of Social Activities and Recruitment (and to a lesser degree the VPs of Oktoberfest and Competition).

6)      Creates the annual club budget in coordination with the VP of Treasury, assigning budgets to each officer and each functional area of the organization. Creates the Charlotte Oktoberfest budget in coordination with the VP of Treasury and the VP of Oktoberfest.

7)      Responsible for organizing the annual CBM Officers dinner, held at the end of the year to show appreciation for the efforts of all officers, US Open organizers and Oktoberfest committee members.

8)      Serves as the Head of the Board of Directors, which oversees all club activities and has the power to make all financial and legal decisions on behalf of the club (other Board members include the past two Presidents, the Treasurer and the longest participating member of the club who is still in good standing. This group meets no less than once per year).

9)      Represents the club in all outside engagements, providing information about both CBM and homebrewing in general to all outside interested parties, including businesses and the media. Always strives to represent CBM and homebrewers in a favorable light.

10)   Responsible for protecting the club from any internal or external threats to the organization, whether they are legal or material. Responsible for obtaining legal counsel if necessary to protect the club’s officers, members, finances and reputation.

 

VP of Oktoberfest

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Responsible for recruiting, organizing, overseeing and guiding the Charlotte Oktoberfest Committee.

3)      Creates the Charlotte Oktoberfest budget in coordination with the VP of Treasury and the President. Ensures that the committee manages and sticks to this budget.

4)      Establishes a meeting schedule for all Oktoberfest committee meetings and oversees these meetings. Acts as the final decision maker in all cases of internal committee conflict

5)      Establishes areas of responsibility, task lists, and deadlines for all committee chairs, and ensures that all deadlines are met.

6)      Acts as the public face of the festival in all outside activities, including but not limited to media appearances, business negotiations and sponsorship agreements.

 

VP of Social Activities

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Organizes all club social gatherings that take place outside of club meetings or brew sessions. This includes but is not limited to brewery tours, sporting events, camping trips, pint nights, social gatherings with other homebrew clubs, the annual club Christmas party, etc.

3)      Engages the club membership in an effort to determine which events are appealing to the greatest percentage of members and then pursues these events. Arranges for all necessary transportation, reservations, and tickets,

4)      Communicates all events through all available channels well in advance of the scheduled event.

5)      Coordinates the club calendar with the President and the VP of Recruitment.

 

VP of Recruitment

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Welcomes all visitors and new members at all club meetings and functions.

3)      Work to communicate the advantages of CBM membership to visitors, and to ensure that new members are aware of club activities and encouraged to participate. Also pursues inactive members in an effort to keep them in the loop.

4)      Organizes, schedules and oversees all CBM brew sessions. Responsible for ensuring that appropriate beers (those that match style being brewed) are available during the session, and that the session host receives reimbursement for food expenses.

5)      Coordinates the club calendar with the President and the VP of Recruitment.

 

VP of Education

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Organizes educational sessions at every other club meeting throughout the year (6 out of 12), including but not limited to style education sessions, equipment demonstrations, ingredient reviews, guest speakers and brewery presentations. These will alternate with the monthly tasting sessions, which will occupy the other 6 meetings out of the year.

3)      Responsible for gauging interest from club members in a BJCP education session, and if sufficient interest exists, determining who will lead this effort, supporting this individual if necessary throughout the year.

4)      Responsible for coordinating (with the President) the CBM Club Tasting competitions. These will take place every other month (6 out of 12) and will alternate months with the education sessions.

5)      Creates and nurtures an environment of constant education, encouraging members to try new things, stretch their brewing knowledge and obtain new levels of expertise in homebrewing.

 

VP of Competition

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Organizes the annual US Open Homebrew Competition. Responsible for recruiting a committee of individuals to plan, coordinate and execute this annual event.

3)      Provides information about all upcoming CBoY competitions to the membership, and provides detailed CBoY standings information to members following each CBoY competition.

4)      Provides information about all upcoming AHA Club Only competitions to the membership on a monthly basis, and then organizes the judging of these competitions whenever one is scheduled.

5)      Works to support the efforts of other regional homebrew competitions by encouraging member participation both in terms of entries and judging/stewarding at the event.

6)      At all times, encourages members to participate in competition, which is on of the key foundations for improving ones brewing skills and techniques.

 

VP of Treasury (Treasurer)

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Responsible for ensuring that all dues are paid, all club debts are paid in a timely fashion, and all receivables are received in a timely fashion.

3)      Responsible for the maintenance of all club bank accounts, financial records and tax records.

4)      Creates the annual club budget in coordination with the President, assigning budgets to each officer and each functional area of the organization. Creates the Charlotte Oktoberfest budget in coordination with the President and the VP of Oktoberfest.

 

Webmaster

1)      Develops a monthly agenda for each meeting and provides it to the President in advance of the meeting.

2)      Manages all aspects of the carolinabrewmasters.com URL, including posting club announcements, uploading images, maintaining a monthly newsletter of club activities, maintaining the online club calendar and ensuring that the website is accessible

3)      Makes an archive copy of all club files and records that get posted to the website, and keeps it current.

4)      Supports the CBM YahooGroup (or any other future ListServe device), ensuring that all club members have the ability to post messages and information to the entire club at all times.

5)      Ensures that the club website meets with current web development standards, including content, look-and-feel and functionality. Obtains outside design support if necessary to meet these requirements, including working the President and VP of Treasury to ensure sufficient budget support for changes.
